Description:

Our client is seeking a highly organized and detail-oriented Medical Administrative Coordinator to support physicians and patients within a fast-paced medical/medicolegal environment. This position involves coordinating physician schedules, preparing charts and appointment materials, managing documentation, and serving as a key point of contact for various stakeholders.

Key Responsibilities

  • Coordinate physician schedules, appointments, locations, and related services.
  • Prepare and organize charts, medical records, histories, and supporting documentation for appointments.
  • Obtain outstanding medical records, cover letters, and other required documents from insurance companies, attorneys, physicians, and other parties.
  • Contact patients/examinees and other parties to confirm appointments, interpreters, medical histories, and required documentation.
  • Process subpoena requests and assist with scheduling depositions and other medical/legal appointments.
  • Maintain accurate patient and physician records, attendance information, and electronic files.
  • Onboard physicians, gather required information, and assist with maintaining physician compliance.
  • Serve as a primary point of contact for physicians and their office staff, addressing questions and resolving scheduling or administrative issues.
  • Prepare necessary appointment materials and equipment, including Dictaphones, books, flash drives, access information, keys, and alarm codes.
  • Identify potential issues and proactively follow up to ensure appointments are fully prepared and run successfully.
  • Answer and route phone calls, take messages, and provide professional customer service to patients, physicians, attorneys, and other stakeholders.
  • Utilize Microsoft Office, Google Calendar, ShareFile, and other computer systems.
  • Work closely with internal departments to communicate changes and ensure all aspects of the process are completed accurately and on time.
  • Qualifications

  • Strong data entry and typing skills with excellent attention to detail.
  • Excellent written, verbal, and listening communication skills.
  • Strong organizational, time-management, and multitasking abilities.
  • Good decision-making, analytical, and problem-solving skills.
  • Comfortable working independently and as part of a team.
  • Proficient with Microsoft Office and basic computer applications.
  • Bilingual preferred.
  • Medical, workers' compensation, insurance, or medicolegal experience preferred.
  • High school diploma or equivalent.
