We are seeking a highly organized and professional Medical Office Assistant to join our healthcare team. This role is essential in ensuring the smooth operation of our medical practice by managing administrative tasks, supporting clinical staff, and providing exceptional patient service. The ideal candidate will possess strong communication skills, excellent organizational abilities, and experience in office management within a healthcare setting. Prior experience with front desk operations, bookkeeping, and vendor management is preferred. Responsibilities:

  • Greet patients and visitors with professional phone etiquette and a welcoming demeanor
  • Manage multi-line phone systems efficiently to handle appointment scheduling, inquiries, and follow-ups
  • Maintain accurate patient records through filing, data entry, and electronic health record management
  • Support billing and bookkeeping tasks using QuickBooks or similar software
  • Assist with human resources functions including payroll processing and staff scheduling
  • Oversee vendor management to ensure timely procurement of supplies and services
  • Coordinate with clinical staff to facilitate smooth daily operations
  • Support training & development initiatives for new staff members
  • Manage office supplies inventory and perform basic administrative duties such as copying, faxing, and mailing
  • Uphold confidentiality standards in compliance with healthcare regulations
  • Experience:

  • Prior office experience in a medical or healthcare setting is highly preferred
  • Supervising experience or team management skills are advantageous
  • Proficiency with QuickBooks, multi-line phone systems, and clerical tools such as filing systems is desirable
  • Strong communication skills coupled with excellent organizational skills are essential
  • Experience with human resources functions including payroll, training & development, and vendor management will be beneficial
  • Demonstrated ability to handle bookkeeping tasks and manage office budgets effectively
  • Previous experience in front desk operations within a medical environment is a plus
  • This role requires a proactive individual capable of multitasking efficiently while maintaining professionalism. Candidates should demonstrate strong organizational skills, effective communication abilities, and a commitment to providing outstanding administrative support within a healthcare setting.
